RefChecker provides AI-powered reference checking and pre-employment verification. This policy explains what personal data we collect, why, and your rights over it.
Data we collect
- Details you give us — name, work email, company and phone number when you request a demo or contact us.
- Reference data — when a customer runs a check, the details of candidates and referees they provide, and recordings or transcripts of reference conversations.
- Usage data — how you interact with this website, subject to your cookie choices.
How we use it
- To run reference checks and produce reports for our customers.
- To respond to enquiries and demo requests, and to contact you about RefChecker where you've consented.
- To improve the product and keep it secure.
Cookies and tracking
We use cookies to understand how the site is used. You control this through the consent banner — choose to reject all, allow analytics only, or accept all. Your choice is stored in your browser.
Recording consent
Reference conversations are recorded only after a clear consent message, with wording adapted to the relevant jurisdiction.
Chrome extension
The RefChecker Chrome extension starts reference checks from the page you have open in your ATS or CRM. It is built to touch as little as possible:
- It reads a page only when you click the extension, and only the page you're on — it has no access to your browsing history or other tabs.
- What it reads (candidate name, email, phone) is shown to you in an editable form first; nothing is sent until you click to start a check.
- Submitted details go only to your organisation's RefChecker account, where they're handled under this policy on your organisation's behalf.
- You sign in with your own RefChecker account; sign-in tokens are stored only in your browser's extension storage and sent only to RefChecker.
- The extension contains no analytics, no advertising, and no third-party trackers, and we never sell data collected through it. Its data handling is limited to the single purpose above.
Your rights
We apply GDPR-level protections globally, alongside the Australian Privacy Principles. You can request access to, correction of, or erasure of your personal data.
